Who It's For

  • Agencies, consultants, trades and B2B suppliers that invoice on terms.
  • Owners who chase late payers by hand from their own inbox.

Not for

  • Businesses already happy with their accounting tool's built-in reminders. QuickBooks paid plans, for example, include invoice reminders, so start there.

The Bot Stack

Full write-up with the flow diagram: Chase Unpaid Invoices from One Sheet.

The First 10

Who
Your 10 oldest unpaid invoices, oldest first.
Where to find them
Your accounting tool's accounts receivable or aged debtors report. Export it into the Google Sheet the bot reads.

The first message

Hi {first name}, a quick note on invoice {number} for {amount}, sent on {date} and due on {due date}. If it is already on its way, thank you and please ignore this. If anything is holding it up, a wrong amount, a missing PO or a new contact in accounts, reply and I will sort it today. You can pay here: {payment link}. Kind regards, {your name}
Then
Approve each of the 10 drafts by hand. Note which reply you get from each: paid, query, promise or silence.
  • Only chase money that is genuinely owed and past due.
  • Keep the tone factual; never threaten action you do not intend to take.

Costs and Break-Even

Setup

  • VRun It With Us setup: $1,500 founding price for the first 3 setups (normally $2,500), one time for one bot setup, starting with a $300 deposit that counts toward it. Source, checked 30 Oct 2026.

Monthly tool bill

  • Vn8n Community Edition, self-hosted: $0 licence; you pay for your own server. Source, checked 27 Oct 2026.
  • VOr n8n Cloud Starter: 20 euros a month, billed annually. Source, checked 27 Oct 2026.
  • VGmail: Google lists a no cost plan with 15GB storage. Source, checked 27 Oct 2026.
  • VGoogle Sheets: Google says anyone with a Google Account can create in Sheets. Source, checked 27 Oct 2026.
  • VOpenAI API, gpt-4.1-mini: $0.40 per million input tokens and $1.60 per million output tokens. Source, checked 27 Oct 2026.
  • E100 reminder drafts a month at about 2,000 tokens each is 200,000 tokens, well under $1 at those rates. Basis: Our token guess per draft times the listed rate. Longer prompts cost more.
  • EExample monthly bill on n8n Cloud Starter: about 20 euros plus under $1 of API use. Basis: Sum of the listed prices above.

Your time

  • EAbout 15 minutes twice a week to approve drafts and update the sheet. Basis: Our estimate for 10 to 30 open invoices.

Work out your own break-even

  • Hours the bot must save each month to cover its running cost = monthly tool bill / your hourly value.
  • Months to recover the setup = setup price ($1,500 founding, normally $2,500) / (hours saved a month x your hourly value - monthly tool bill).
  • Measure hours saved in week 1 (before) and week 4 (after) with a simple time log. Use your own numbers, not ours.
  • For chasing, also track days sales outstanding (average days from invoice to payment) before and after. That is your own number, from your own books.

A Grok Bot plan is not needed for this n8n workflow. You need one only if you add Grok bots to the setup.

When to Stop

Baseline first. Before you start, write down: total overdue, number of overdue invoices and the average days from invoice to payment over the last 90 days.

Day 30

  • Any customer complains about the tone: rewrite the templates before the next send.
  • More than 2 of 10 drafts have a wrong amount, date or contact: the sheet is the problem; fix the export before going on.

Day 60

  • Total overdue and average days to pay are no better than your baseline: switch to your accounting tool's built-in reminders and stop the workflow.

Day 90

  • Time saved plus faster payment does not beat the tool bill: switch it off.
  • If it works, add a monthly statement email and review the templates every quarter.

Rules to Follow

  • Email rules (US, CAN-SPAM)Commercial email needs a working opt-out, and people cannot be asked to pay or do more than reply or visit one page to opt out. The rules treat transactional or relationship messages, such as a reminder about an invoice already owed, differently from marketing email. Keep subject lines honest either way. Source.
  • Debt collection rulesIf you hand chasing to a third party, debt-collection laws may apply to them. When you chase your own invoices, stay factual, polite and accurate, and stop contacting anyone who disputes the amount until it is resolved.
  • Data protection (EU and UK customers)If you hold personal data about people in the EU or UK, GDPR or UK GDPR applies: collect only what the job needs, tell people how you use it, and keep access to the connected accounts to the people who need it. Source.
  • Not legal, tax or financial adviceThis blueprint is operating help. Check the rules for your country and industry with a qualified adviser before you rely on it.
  • No income claimsNothing on this page promises income, savings or any business result. The value lines are labelled estimates with their basis. Bots draft and you approve. Source.

What Is Typical

  • V59% of US small businesses say at least some invoices are overdue by 30 days or more, up from 47% the year before. Businesses with unpaid invoices are owed $17.7K on average. Sample: 1,305 US business owners with 0 to 250 employees, online survey for Intuit QuickBooks, December 2025, plus its quarterly Small Business Insights survey (about 5,000 a quarter) (2026). Source, checked 27 Oct 2026.
  • VIn the same report, 55% of businesses on net-30 terms have overdue invoices, against 26% of those that ask for immediate payment. Sample: As above (2026). Source, checked 27 Oct 2026.
  • Caveat. A vendor survey of US owners. It describes how common late payment is; it does not measure what reminder bots change. We have no verified before-and-after data yet.

FAQ

Will it email my customers without asking me?

Not in our setup. Every reminder is a draft until you approve it.

Do I need n8n Cloud?

No. n8n Community Edition can be self-hosted for free; Cloud saves you running a server.

Prefer to set it up yourself? The Bot Blueprint Pack has five of our operating plans as a 32-page PDF, plus a cost sheet.
