Who It's For
- Owner-run local service businesses with a Google Business Profile.
- Teams where the phone rings while everyone is with a customer.
Not for
- Businesses that want reviews written or filtered for them. That breaks Google's rules and US federal rules.
The Bot Stack
- Reply Deskby @lonzom10Drafts replies to reviews, emails and messages in your voice.
- Phone Receptionistby @SimplyColeBAnswers the business line and books into Google Calendar.

The First 10
- Who
- Your last 10 customers whose job is finished, all of them, not only the happy ones.
- Where to find them
- Your booking calendar, invoice list or point-of-sale history for the last 30 days.
The first message
Hi {first name}, thank you for choosing {business} for your {service} on {day}. If you have a minute, an honest review helps other people in {town} decide: {review link}. Good or bad, we read every one and reply. Thank you, {your name}
- Then
- Paste your last 10 public reviews into Reply Desk and approve or edit each draft reply. That gives the bot your tone before it drafts new ones.
- Ask every customer the same way. Do not offer discounts or gifts for reviews.
- Do not ask only customers you expect to be happy.
Costs and Break-Even
Setup
- VRun It With Us setup: $1,500 founding price for the first 3 setups (normally $2,500), one time for one bot setup, starting with a $300 deposit that counts toward it. Source, checked 30 Oct 2026.
Monthly tool bill
- VGrok Bot Premium covers Reply Desk: $30 a month. Source, checked 27 Oct 2026.
- APhone Receptionist's share card lists an Agent Phone Plan at $15 for the first month, then $30 a month. Source, checked 27 Oct 2026.
- EIf the line runs on Bland directly instead: Start plan, $0 platform fee and $0.14 per talk minute, so 100 minutes of calls would be $14. Basis: Arithmetic on Bland's listed $0.14 per minute rate. Your minutes will differ.
- EExample monthly bill with the share card phone plan after month one: $30 + $30 = $60. Basis: Sum of the two prices above, before tax.
Your time
- EAbout 10 to 15 minutes a day to approve reply drafts and check call notes. Basis: Our estimate for a business getting a few reviews and messages a day. More volume means more approval time.
Work out your own break-even
- Hours the bot must save each month to cover its running cost = monthly tool bill / your hourly value.
- Months to recover the setup = setup price ($1,500 founding, normally $2,500) / (hours saved a month x your hourly value - monthly tool bill).
- Measure hours saved in week 1 (before) and week 4 (after) with a simple time log. Use your own numbers, not ours.
We do not know your hourly value, booking value or call volume, so we do not show a payback figure. Run the two lines above with your own numbers.

When to Stop
Baseline first. Before you start, write down: reviews in the last 90 days, how many got a reply, and roughly how many calls a week go unanswered.
Day 30
- Fewer than 7 of 10 reply drafts are usable after small edits, even after two rounds of tone fixes: change the instructions or stop the reply bot.
- Callers complain about the phone bot more than once a week: switch the line back to voicemail and review the call notes.
Day 60
- Your share of reviews with a reply is not higher than your baseline: the approval step is the bottleneck; set a fixed daily slot or stop.
- Booked calls from the bot are zero or near zero: the phone plan is not paying its way; cancel it and keep only Reply Desk.
Day 90
- Hours saved a month x your hourly value is below the monthly tool bill: switch off the part that does not cover its cost.
- If it does cover its cost, keep it and review again every quarter.
E These thresholds are our rules of thumb, not benchmarks.
Rules to Follow
- Fake reviews and review suppression (US)The FTC rule on consumer reviews bans fake or false reviews, buying reviews, and suppressing negative reviews by threats or false claims. A bot must never write a review or pose as a customer. Source.
- Google review policyGoogle does not allow businesses to offer incentives for reviews, to discourage negative reviews or to ask only happy customers. You may ask for genuine reviews without trying to influence the rating. Source.
- AI voices on calls (US)The FCC ruled that AI-generated voices count as artificial voices under the TCPA. Outbound calls with an AI voice need prior consent. Keep the phone bot to answering inbound calls unless you have consent. Source.
- Email rules (US, CAN-SPAM)Commercial email needs a working opt-out, and people cannot be asked to pay or do more than reply or visit one page to opt out. The rules treat transactional or relationship messages, such as a reminder about an invoice already owed, differently from marketing email. Keep subject lines honest either way. Source.
- Data protection (EU and UK customers)If you hold personal data about people in the EU or UK, GDPR or UK GDPR applies: collect only what the job needs, tell people how you use it, and keep access to the connected accounts to the people who need it. Source.
- No income claimsNothing on this page promises income, savings or any business result. The value lines are labelled estimates with their basis. Bots draft and you approve. Source.
What Is Typical
- V89% of consumers expect business owners to respond to reviews, and 42% say they are unlikely to use a business that ignores its reviews. Sample: 1,002 US adults (BrightLocal Local Consumer Review Survey 2026, SurveyMonkey panel) (2026). Source, checked 27 Oct 2026.
- VOnly 51% of small business owners say they respond to reviews, and 47% have fewer than 20 Google reviews. Sample: 1,002 US owners of local businesses with 1 to 50 employees (BrightLocal Small Business Marketing Report 2026) (21 Oct 2026). Source, checked 27 Oct 2026.
- Caveat. These are survey answers from US consumers and owners, not measured results for any one business. We have no verified data on what review replies or a phone bot change for a typical business.
FAQ
Will the bot post replies on its own?
No. Reply Desk drafts and you post. You stay the one who replies in public.
Can it ask only happy customers for reviews?
No, and you should not either. Google's policy and the FTC rule both count selective asking or suppressing negative reviews as manipulation. Ask everyone the same way.
