The First 10
- Who
- Phase 1: your last 10 delivery orders that were cancelled, refunded or adjusted. Then the last 10 guests who left a review.
- Where to find them
- Each delivery app's merchant portal (orders, adjustments and payouts pages) and your Google Business Profile reviews.
The first message
Order {order id} on {date}: the full order was prepared and handed to the courier at {time}, then marked {cancelled/refunded} and deducted from our payout. Our records show it was ready on time. Please review and reimburse the {amount} adjustment. Prep ticket and handover time attached.
- Then
- Approve or reject each drafted request yourself before it is filed, and log the outcome: approved, denied or no answer.
- File only requests your own records support.
- Follow each platform's dispute window and terms in your merchant agreement.
Costs and Break-Even
Setup
- VRun It With Us setup: $1,500 founding price for the first 3 setups (normally $2,500), one time for one bot setup, starting with a $300 deposit that counts toward it. Source, checked 30 Oct 2026.
Monthly tool bill
- VPhase 1 (order recovery and review replies): Grok Bot Premium, $30 a month. Source, checked 27 Oct 2026.
- VPhase 2 (phone line): n8n Cloud Starter at 20 euros a month billed annually, or Community Edition self-hosted for $0 licence. Source, checked 27 Oct 2026.
- VVapi voice: $0.05 a minute hosting, plus provider costs listed on its page (transcriber about $0.0095 to $0.0099, model $0.0077 to $0.0452, voice $0.0146 to $0.0238 a minute). $5 free credits and 1 phone number included. Source, checked 27 Oct 2026.
- EAdding those up, a call minute costs about $0.08 to $0.13 before telephony fees, so 300 minutes would be about $25 to $39. Basis: Sum of Vapi's listed ranges times an example 300 minutes. Your minutes and model choice change this.
- VBookings database: Supabase Free, $0 (pauses after 1 week of inactivity); Pro from $25 a month. Source, checked 27 Oct 2026.
- VPhase 3 (chat ordering): OpenAI gpt-4.1-mini at $0.40 and $1.60 per million input and output tokens. Source, checked 27 Oct 2026.
Your time
- EPhase 1: about 20 minutes twice a week to approve requests and replies. Phase 2: about 15 minutes a day in the first two weeks to read call notes. Basis: Our estimate for one location.
Work out your own break-even
- Hours the bot must save each month to cover its running cost = monthly tool bill / your hourly value.
- Months to recover the setup = setup price ($1,500 founding, normally $2,500) / (hours saved a month x your hourly value - monthly tool bill).
- Measure hours saved in week 1 (before) and week 4 (after) with a simple time log. Use your own numbers, not ours.
- For phase 1, track reimbursements approved per month in your payout reports. That is your number, from the platform.
Start with phase 1. Add the phone line only if phase 1 is working and calls are a real problem for you.

When to Stop
Baseline first. Before you start, pull 90 days of delivery adjustments from each portal and estimate how many calls go unanswered at peak (ask staff to tally for one week).
Day 30
- Platforms deny most requests the bot drafted: tighten which orders qualify or stop phase 1.
- Guests complain about the phone bot: send calls back to staff and review the notes before trying again.
Day 60
- Approved reimbursements in your payout reports do not cover the Grok Bot plan: stop order recovery.
- Tables booked by the phone bot are near zero: cancel the voice line.
Day 90
- Keep only the phases whose value is above their monthly cost on your own numbers.
E These thresholds are our rules of thumb, not benchmarks.
Rules to Follow
- Delivery platform termsFile only disputes your records support, within each platform's window. Repeated unsupported claims can put your merchant account at risk.
- AI voices on calls (US)AI voices count as artificial voices under the TCPA. Use the voice bot for inbound calls; outbound calls with an AI voice need prior consent. Source.
- Call recordingRecording rules differ by state and country; some require every party's consent. Tell callers if calls are recorded.
- ReviewsReply to reviews; never write them or offer rewards for them. Source.
- Data protection (EU and UK customers)If you hold personal data about people in the EU or UK, GDPR or UK GDPR applies: collect only what the job needs, tell people how you use it, and keep access to the connected accounts to the people who need it. Source.
- No income claimsNothing on this page promises income, savings or any business result. The value lines are labelled estimates with their basis. Bots draft and you approve. Source.
What Is Typical
- V63% of US adults say calling is their preferred way to contact a restaurant, 20% say their calls to restaurants are always or often ignored, and 69% say they are likely to give up on a restaurant if nobody answers. Sample: 2,065 US adults, The Harris Poll for Hostie (an AI phone vendor), 29 May to 2 Jun 2025 (18 Jun 2025). Source, checked 27 Oct 2026.
- VFood and drink businesses are among the most likely to reply to reviews (60%), against 51% across all small businesses. Sample: 1,002 US owners of local businesses with 1 to 50 employees (21 Oct 2026). Source, checked 27 Oct 2026.
- Caveat. The phone survey was paid for by a company that sells AI phone answering. We found no independent public data on delivery-app error rates, so we show none.
FAQ
Do I need all four bots?
No. Start with order recovery and review replies. Add the phone line, then chat ordering, only when the first phase is working.
Will the phone bot take payments?
Not in this setup. It answers questions and books tables; payment stays with your POS.
