Who It's For

  • Owner-run businesses on QuickBooks Online with an outside accountant or bookkeeper.
  • Owners who find receipts and errors only at tax time.

Not for

  • Businesses wanting a bot to file taxes or give tax advice. This checks and prepares; a person signs off.

The Bot Stack

  • Bookkeeping Auditorby @mrfundmanChecks your books against bank, card and check records and lists errors to fix.
  • Receipt Scanner / Expense Trackingby @limeunfilteredTurns forwarded receipts and photos into sheet rows, with files saved to Drive.
  • Invoice Hunterby @scheemunaiFinds supplier invoices in your email and bundles them by month for your accountant, after you approve.

The First 10

Who
The 10 largest transactions from last month that have no receipt or look miscategorised.
Where to find them
QuickBooks: the bank feed's unmatched items and the Uncategorised Expense account. The auditor's first report lists them.

The first message

Hi {supplier contact}, could you resend the invoice or receipt for {amount} paid on {date} (reference {ref})? We are closing our books for {month}. Thank you, {your name}
Then
Send your accountant the auditor's list with one line: 'These are the items I fixed and the ones I need your view on.'
  • You or your accountant approve every change to the books.
  • Never let a bot delete transactions.

Costs and Break-Even

Setup

  • VRun It With Us setup: $1,500 founding price for the first 3 setups (normally $2,500), one time for one bot setup, starting with a $300 deposit that counts toward it. Source, checked 30 Oct 2026.

Monthly tool bill

  • VGrok Bot Premium: $30 a month (runs all three bots). Source, checked 27 Oct 2026.
  • VQuickBooks Online Simple Start: $38 a month list price (shown at $19 for 3 months as an offer). Essentials: $85 a month list. QuickBooks Free has no third-party integrations, so the auditor needs a paid plan. Source, checked 27 Oct 2026.
  • VGoogle Sheets and Drive: free with a Google account. Source, checked 27 Oct 2026.
  • EExample bill if you already pay for QuickBooks: $30 a month added. Basis: Only the Grok Bot plan is new for most QuickBooks users.

Your time

  • EAbout 1 hour at month end plus a minute per receipt as it arrives. Basis: Our estimate for a business with a few hundred transactions a month.

Work out your own break-even

  • Hours the bot must save each month to cover its running cost = monthly tool bill / your hourly value.
  • Months to recover the setup = setup price ($1,500 founding, normally $2,500) / (hours saved a month x your hourly value - monthly tool bill).
  • Measure hours saved in week 1 (before) and week 4 (after) with a simple time log. Use your own numbers, not ours.
  • Also compare your accountant's month-end or year-end bill before and after, if they bill by the hour.

When to Stop

Baseline first. Before you start, count last month's unmatched bank items and receipts you could not find.

Day 30

  • The auditor's list has more false alarms than real errors: narrow it to bank and card matching only, or stop.

Day 60

  • Unmatched items at month end are no lower than your baseline: the weekly receipt habit is not happening; fix it or stop.

Day 90

  • Your accountant says the month-end pack saves them nothing and your own hours are not lower: switch it off.

E These thresholds are our rules of thumb, not benchmarks.

Rules to Follow

  • Record keeping (US)The IRS says to keep records that support income, deductions or credits until the period of limitations for that return runs out, generally 3 years, and longer in some cases (for example 4 years for employment tax records). Keep the receipt files the bot saves. Source.
  • Not legal, tax or financial adviceThis blueprint is operating help. Check the rules for your country and industry with a qualified adviser before you rely on it.
  • Data protection (EU and UK customers)If you hold personal data about people in the EU or UK, GDPR or UK GDPR applies: collect only what the job needs, tell people how you use it, and keep access to the connected accounts to the people who need it. Source.
  • AccessGive the bots read access where possible, and keep your accountant as the person who approves adjustments.
  • No income claimsNothing on this page promises income, savings or any business result. The value lines are labelled estimates with their basis. Bots draft and you approve. Source.

What Is Typical

  • V74% of US small businesses are not fully automated in managing and paying bills, and manual work is the top internal reason for delayed outgoing payments. Sample: 1,305 US business owners with 0 to 250 employees (Intuit QuickBooks, December 2025) plus its quarterly Small Business Insights survey (2026). Source, checked 27 Oct 2026.
  • Caveat. A vendor survey. It shows how common manual finance work is, not what a books-check bot changes. We have no verified data on error rates found or hours saved.
